Setting up Book4Time Activities in the Member Portal

Integrating Book4Time (B4T) Activities into the Member Portal allows your users to easily book and manage activities such as fitness classes, music lessons, and other events. Follow the steps below to

1. Creating the Activities Parent Category

The first step in setting up Book4Time Activities is creating a parent category that will house all your activities. This category serves as the main hub for all related sub-categories.

Steps:

  1. Access the Control Panel: Log into the Peoplevine Admin panel.

  2. Navigate to Categories

  3. Create a New Category:

    • Click on "Create a Category"

    • Name the category "Activities"

    • Set the specific component to "Appointments"

    • Set Display to customers to On

    • Under Meta Data & Advanced Options, set the Group input field to "activities"

    • Set this category as a parent category by leaving the parent option as "Not Categorized"

  4. Save Changes: Click "Create" to create the parent category.

2. Creating Sub-Categories (e.g., Fitness, Music)

Once the parent category is created, you can add sub-categories corresponding to different activities like Fitness, Music, etc.

Steps:

  1. Return to Categories:

    • Go back to the "Categories"

  2. Add Sub-Categories:

    • Click on "Create a Category"

    • Name the category (e.g., "Fitness")

    • Set the specific component to "Appointments"

    • Set Display to customers to On

    • Select "Activities" as the parent category

  3. Repeat for Additional Sub-Categories: Follow the same steps for other sub-categories like "Music," "Yoga," "Workshops," etc.

3. Setting Up B4T and PeopleVine Schedulers

The next step involves setting up schedulers that connect B4T with the Member Portal for seamless booking and management.

If you have already integrated B4T and you do not see the corresponding PV scheduler for a B4T activity, follow these steps:

Steps:

  1. Access Integration Platforms:

    • In the admin panel, navigate to "Integrated Platforms" and select Book4Time

  2. Re-sync Services

    • Select the Book4Time Location you want to edit and click "Edit"

    • Scroll down to the "Sync Data" section

    • In the dropdown, select "Sync Services (Spa + Activities)"

    • Click "Sync Data"

  3. Check Schedulers

    • In the admin, panel navigate to "Schedulers"

    • Review each B4T Activity Scheduler and ensure the following:

      • Appointment Type is "Activity Appointment"

      • The correct category is assigned

      • Pull Availability From is set to "book4time"

      • Sync ID has a value

4. Enabling the Activities Page on the Navigation Menu

To make the Activities section accessible to your members, you need to enable the Activities page in the navigation menu.

Please reach out to your Account Manager to enable this in the config file.
